1. Preliminary Notes 

In the mail settings area, all relevant functions for correct automated communication with the end customer are available to you. It is possible to define how emails should be sent to the customer in the future. The setting can be done independently on holding level as well as on client level.


2. Mail Settings in the Contracting Company 

In the "Settings" and "Mail Settings" area in the contracting company, it is possible to specify the sending of e-mails. To do this, navigate to "Edit" in the menu bar.

Step 1:
The following settings can be made in the edit mode:

(1) Activate this email setup: By activating the button, the email setup for the company will be activated and the data set below will be applied.
(2) Selection of mails for sending to customer and BCC recipients: An email address can be entered in the field to which all emails sent via BCC will be sent. The email entered there is generally valid, but can be overwritten with a different address for individual emails using different recipient addresses (6).
(3) System E-Mails: All email templates stored in the system are listed in the overview.
(4) Send to customers: If the check mark behind the respective e-mail is set, this e-mail will be sent to the customer when the corresponding action (e.g. order) is performed. If the check mark is removed, the respective system e-mail will not be sent.
(5) Send to BCC recipient: optionally, an e-mail can also be sent via BCC. The mail address is defined either above under Selection of mails for sending to customer and BCC recipients (2) or under BCC: Deviating recipient address for this mail (6).
(6) Different recipient address for BCC mail: Here you can specify a different e-mail address to the general one (2) for BCC sending.

By default, the e-mail setup is deactivated for the company. Further settings, such as the domain of the e-mail dispatch, can be made in the other settings in edit mode.

Step 2:
Click on Save to apply the settings you have made. If the email setup has been activated for the company, the status next to active changes from a red No to a green Yes (1).
If the sending of certain system e-mails has been deselected, they will no longer be displayed in the overview.
If sending via BCC has been selected, the generally defined e-mail address is displayed above the table (2). Individual, differently defined e-mail addresses for BCC dispatch are displayed in the overview in the column of the respective system e-mail and a green check mark appears (3).

3. Mail Settings in the Client 

Under the tab "Settings" and "Mail settings" there is the possibility to set client specific system mail settings.

Note: The settings made in the holding (contracting company) are automatically applied to the clients (company/subcompany) as well.

Therefore, settings must be made again in each client if there are client-specific deviations.

In the editing view of the mail settings, it can be seen that the settings that were previously made in the contracting company are applied. In order to save client-specific settings, the button Use these settings instead of the holding settings  must be activated during editing.
The functions and the settings process are analogous to the settings process in the contracting company.

With a click on Save, the settings made are applied. If sending via BCC is selected, the generally defined e-mail address is displayed above the table.
