1. Preliminary remarks

plenigo offers the option of creating and customizing various invoice templates. 
  • One template can be used for all invoices. However, each template can also be explicitly assigned to an offer.
  • In the list view, a distinction is made between different types (B2C, B2B, B2C Event, B2B Event) under Invoice Type. However, this only serves as an example and is not automatically applied to these offers.
  • Templates must be actively approved before they can be used in the day-to-day business.
   The editing mode is organized in such a way that it is immediately clear which information is displayed at which position in the PDF.

2. Create Invoice Templates

  • In the list under Commands, click on + Add. The editing mode opens.

The following settings can be made:

  • Design: plenigo offers 5 different design templates from which you can choose from.
  • Position of the Logo: Determines on which position the label is shown.
  • Logo: Upload your company logo.
  • Text 1: Enter, for example, contact data (max. 5 rows á 100 characters).
  • Sender Address Line: is shown above the address in the letter window.
  • Invoice Details: Show data below or beside.
  • Position of the Title
  • Text 2: Free text which is shown below the table in which the offer details are listed.
  • Table Content: activate/deactivate checkboxes
    • Show Delivery/Service Date
    • Show Offer ID
    • Show Subscription ID
    • Show Additional Title Description (comes from the offer creation form)
  • Address Display: Set the address display using the drop-down menu.
  • Text 3: Free text which is shown below the table.
  • Text 4: Free text which is shown below the table.
  • Footer Columns: The footer can consist of 4 segments.
  • Click on Save. The template is only saved as draft and is not yet approved automatically.

Approve draft:

  • In the list under Commands, click on Draft. The preview opens.
  • Action bar: The template can be edited, copied, approved or compared to other templates.

  1. Edit: The editing mode opens.
  2. Copy: A new window opens. The current template can be copied into another invoice template using the drop-down menu.
  3. Approve: The draft can be approved and then be used.
  4. Compare: If no template is available yet, invoice types are compared. If a template has already been created, the live and draft versions are compared.

Several templates in one invoice type:

Several templates can be created for one invoice type.
In the list view, the column Status shows if the template is approved (live). If an approved template and a draft template both are available, live and draft is shown.


Note:

  • Once the new draft is approved, the old live template is deleted.
  • It is not possible that several templates are active in one invoice type.

3. Assign Invoice Templates to Offers

Invoice templates can be explicitly assigned to any number of offers.
  • Open Products menu item.
  • Open Offers menu item.
  • Select an offer.
  • In the action bar, open Extended Offer Data.
  • Click on Invoice Template.

  • A new dialog window opens.
  • Select the invoice template already created using the drop-down menu.
